This Privacy Policy explains how Citadel Index, operated by Blackthorne Wicker, collects, uses, and stores information when you use our professional directory service.

1. What We Collect

When you create an account and build your profile, we collect the following information:

  • Business name and contact name

  • Email address (login and contact)

  • Phone number (including extension if provided)

  • Business location (city, state, or nationwide)

  • Industry category

  • Website URL

  • Bio and connection preferences

  • Current status

  • Account creation date and listing save dates

2. How We Use Your Information

Your information is used to:

  • Display your listing to other verified members of Citadel Index

  • Send transactional emails including welcome messages, listing expiry warnings, and weekly new member digests

  • Notify other members when you join or add a new location

  • Enforce slot limits per industry per city

  • Maintain the security and integrity of the directory

  • We do not sell your information to third parties. We do not use your information for advertising purposes.

3. Who Can See Your Information

Your profile information is visible only to other logged-in, verified members of Citadel Index. The directory is not publicly accessible to the open internet — a verified account is required to view any member listings.Your email address and phone number are displayed on your directory card and are visible to all logged-in members. By adding this information to your profile, you consent to this visibility.

4. How We Store Your Information

Your data is stored securely using Google Firebase, including Firebase Authentication and Firestore. Firebase is a Google Cloud product and is subject to Google's security standards. Data is stored on Google's servers and may be located in the United States.

5. Emails We Send

By creating an account, you consent to receiving the following transactional emails from Citadel Index:

  • A welcome email upon account creation

  • Listing expiry warnings 14 days before a listing expires

  • Weekly new member digests sent every Monday when new members join

  • New member introduction notifications when someone adds a listing in your area

Emails are sent from hello@blackthornewicker.com via Resend, an email delivery service. Resend processes your email address solely for the purpose of delivering these messages.

6. Data Retention

Your data is retained for as long as your account is active. If you delete your account, all of your profile information, listing data, and associated records are permanently deleted from our database. Listing expiry index records are also removed at that time.

7. Your Rights

8. reCAPTCHA

Citadel Index uses Google reCAPTCHA Enterprise on the login and signup forms to protect against automated abuse. reCAPTCHA collects hardware and software information and sends it to Google for analysis. This is subject to Google's Privacy Policy and Terms of Service.

9. Changes to This Policy

We may update this policy from time to time. We will update the effective date at the top of this page when changes are made. Continued use of Citadel Index after changes constitutes acceptance of the updated policy.
